5 reasons moves go over quote (and how to avoid them)

What usually pushes a move past the estimate, and the prep that keeps your mission on time and on budget.

One of the most common concerns people have when hiring movers is whether or not their move will cost more than their estimate says. It is a completely normal concern, and we wanted to address it directly and share a few things you can do to help us complete your mission in (hopefully under) the estimated time.

The good news is that VMA has built a reputation for consistently coming in at or under our estimates. We do this by gathering as much information as possible when we quote, and by being conservative about the time and resources we recommend. Even so, missions can take longer for avoidable reasons. Here is how you can do your part.

Cause #1: Not Being Prepared

Clients who are not ready when we arrive is the most common reason missions go over the estimated time. If a team shows up and someone is still packing, that is a huge red flag that the mission will take longer than quoted, and there is a real chance we may not be able to get everything.

What does being prepared look like?

  • Everything is packed and ready to be moved
  • Boxes are completely closed with a flat top, taped, and safe to stack
  • Appliances (washers, dryers, refrigerators, and similar) are empty and ready to move
  • Hallways are clear and free of obstructions
  • Miscellaneous items are packed into boxes (see cause #2)

All of our estimates assume you are prepared. Please help us complete your mission on time by being ready when we arrive.

Cause #2: Miscellaneous Items

Packing lamps, decorations, tools, and similar items into boxes can feel unnecessary, but it often saves time and money. Loading a truck is real-life Tetris in three dimensions. The more awkward loose items your crew has to place, the longer the load takes. Loose items can also reduce how much we can safely move in one trip.

Cause #3: Box Issues

Random Amazon or Chewy boxes of every size may feel free, but mixed sizes cost you time while the crew figures out how to stack them safely. Please use standard moving boxes (1.5, 3.0, 4.5, and 6.0 cubic feet) when packing for your mission. We sell boxes and other materials, and you can also find standard sizes at most home stores.

If you use used boxes, make sure they are sturdy and safe to stack. Boxes that cannot stack safely cause delays on move day.

Cause #4: Adding Items Not On Inventory

We do not mind extra items that were not on your original inventory, as long as the crew has truck space and time to move them safely. Inventory can be updated on mission day. Just know that added items add time. Review the inventory on your estimate for accuracy, and note the time and resources planned.

Cause #5: Moving On Closing Day

We strongly discourage moving on the same day as your closing. Closings can delay or run long, and access to the home can change that day. We will always do our best to accommodate your schedule, but if you have the option not to move on closing day, we strongly encourage you to take it.
